District eDirectory Builder 2.0

The eDirectory Builder 2.0 is ClubRunner's custom report designer. Use it to build your own printable district directories (Word or PDF) – either from scratch or by customising one of ClubRunner's built-in templates. The Builder is where you design a report; the eDirectory Reports 2.0 page is where you generate and download it.

Building a custom report

  1. Open the Builder. Log in to the district site, go to the Admin area, click the Reports tab on the grey menu bar, then select eDirectory Builder 2.0. (District-level editing rights are required – standard members see it as read-only.)
  2. Add a new report. Click the Add button on the right. A dialog opens with the options for your new report.
  3. Choose a template – or start blank. The Template dropdown lets you start from a pre-built ClubRunner report and modify it, or leave it blank to build from scratch. Preview each template first under Reports → eDirectory Reports 2.0.
  4. Set the report options. Tick Include Future Year for a separate version for the incoming Rotary year (handy at changeover), and Is Landscape for landscape layout. Give the report a Name and Description – the description appears in the eDirectory Reports 2.0 list.
  5. Save and build the content. Click Update to save, then open the report to add or edit its sections – choose data sources (clubs, executives, committees, member designations) and arrange which fields appear.
  6. Generate and download. Go to Reports → eDirectory Reports 2.0, find your report, and click Regenerate to pull the latest data. Then download it as Word or PDF.
Troubleshooting tip: A generated report is a snapshot, not live data. If clubs are missing or executives appear twice, regenerate the report first. If the problem persists, the issue is in the underlying data – check club records and the district organisation chart (duplicates usually trace back to the same person being assigned in both the current and future year, or holding overlapping positions).
